Privacy Policy
How we handle the invoice, customer and payment data entrusted to us to run receivables and collections.
This policy explains what data we process when you use the service, why we process it, and the choices you have. It is written for the specific job Hullect does: chasing unpaid invoices and reconciling payments on your behalf.
Data we process
To run collections for you, we process:
- Invoice records, including amounts, due dates and status, drawn from your accounting or billing system.
- Customer contact details needed to send reminders, such as names, email addresses and messaging numbers.
- Payment and reconciliation data, including bank, UPI and gateway credits used to match against invoices.
- Records of reminders sent, promises made, disputes raised and opt-outs received.
- Account and usage data for the people on your team who log in.
How we use it
We use this data only to provide the service: predicting which invoices are likely to pay late, sending reminders you have approved, tracking promises and disputes, matching payments, and producing the analytics you see in your account. We do not sell it, and we do not use it for advertising.
Connections to your systems
Where your accounting system allows, connections are read-only, so invoices flow in without giving us the ability to change your books. We request only the access a task needs.
Customer communications
Reminders are sent to templates you approve, inside the sending windows and limits you configure. When a recipient opts out, that choice is honored immediately across every channel and the account is removed from automated sequences.
Storage and protection
Data is encrypted in transit and at rest. Access is limited to what a role requires, and activity is recorded so it can be reviewed. We take reasonable steps to guard against unauthorised access, loss or misuse.
Retention
We keep data only as long as needed to run your account and to meet record-keeping obligations, after which it is removed. If you close your account, we delete or de-identify data that we are not required to keep.
Your choices
You can access, correct or export the data in your account, and ask us to delete data we are not obliged to retain. Recipients of reminders can opt out at any time, and that opt-out is permanent unless they ask to be re-included.
Roles and responsibilities
For the customer data you bring into the service, you decide the purpose and we act on your instructions. You are responsible for having a lawful basis to contact your customers, and for confirming the communication rules that apply in your market.
Contact
For any question about this policy or your data, reach us through the contact page and we will respond.
